On behalf of our Client, we are currently seeking a Sales Administrator to join their team.

Summary:
Primary role is administrative assistance to the agency department with emphasis on assisting agents to ensure optimum support in securing listings and increased sales/rentals. Secondarily, overall administrative support as needed throughout the Company.

Responsibilities/Duties: to include but not be limited to.
• Proficiency with CRM including populating, training and overall administration
• Perform clerical, filing, photocopying, and typing duties as required.
• Cover for reception.
• Assist in all aspects of property sales/rental services maintaining an attentive demeanor for customer needs.
• Control logbook and keys to properties.
• Maintain and update information and files on properties for sale and rent including checking to make sure files are organized in the drawers properly and moving excess files to storage as needed.
• Maintain supplies and materials for the department.
• Prepare listing information sheet, agendas, conference room for sales, rental and commercial meetings.
• Prepare and maintain real estate listing files and enter listings into Lucero as required. Remove expired listings from the listing files when required and direct files back to listing agents.
• Prepare call duty schedule and circulate to the agents and reception when it is completed.
• Keep front sales racks (and rental racks if needed) filled weekly with current sole data sheets.
• Update front window on weekly/bi-weekly basis or as needed with newly listed properties.
• Assist Agency Manager with special projects.
• Keep ready supply of buyers and sellers, landlord and tenant packages at all times and monitor usage. Actively assist sales and rental agents with mailings as part of marketing plans.
• Keep advertising log book – to include all advertisements from all publications and corresponding date of insertion.
• Cross train with Transaction coordinator to cover duties when on vacation or sick leave.
• Rental and sales advertising, fliers, photos, etc.
• Create, check and approve all sales files as per department procedures
• Add copy, bullet points, etc as needed for uploading to website
• Download photos and add to Lucero listing
• Create PDFs for all listings and remove once sold, expired or withdrawn
• Maintain faces on the doors and listing pole as instructed
• Administer co-brokes…adding to Lucero, updating, removing and informing agents of new listings in sale meeting
• Act as back door receptionist
• Backup for ad creation and social media post when marketing coordinator is off
• Seller Services Guarantee items are completed including creation/ administering marketing plans and monthly updates for agents as per departmental guidelines

Job Requirements:

The individual must be very competent in all work areas under their responsibility, have good verbal and written communication skills and be courteous in all communications. They must have the ability to handle a high work volume and to deal effectively with clients, agents and staff. The individual must promote a professional image, be punctual and self-motivated, and have the ability to work on their own initiative with little supervision. Must have strong computer skills for BrightDoor or similar CRM, Microsoft Office Suite, Quark XPress or similar desktop publishing software.
